Many service contracts are written around a repair at the place where the item sits. Some items cannot be repaired there, and some repairs need the item moved. When that happens, the contract should say who arranges the move, who pays for it, and what happens to the item while it is away. These terms often sit in a separate clause from the repair terms, so read both.
Who arranges the move
Check whether the seller arranges pick-up, whether you arrange it and ask to be reimbursed, or whether a third party does it under the seller's name. Each route puts a different person in charge of the item. If you must arrange the move yourself, ask in writing what the seller will cover and what form the request takes.
What happens while the item is away
Ask whether a loaner or rental is provided, and if so, what kind, for how long, and who pays for any difference in cost. Ask whether the contract says who carries the item while it is in transit. Read the words for loss, damage, and theft separately, because a contract may use only some of them.
The condition check at each hand-off
Before the item leaves, photograph it and note its condition. Have the person who takes it sign or write a receipt that names the item and the date. Repeat the check when the item comes back. Do not sign a blank or partly filled receipt, and keep a copy with the contract file.
When the item cannot move
Some repairs cannot be done off site, and some items are too large or too fixed to move. Ask what the contract says in that case. Ask whether the technician comes to the item, whether a different route applies, and whether the repair in place carries the same terms. If the contract says nothing, ask the seller to answer in writing before the first visit.
Questions to ask before the first booking
Ask who arranges pick-up, who pays for it, whether a loaner is provided and what its limits are, who carries the risk in transit, what receipt is used at each hand-off, and what route applies if the item cannot be moved. Get each answer in writing, and check that the written answer matches the form you signed.
